Privacy Policy

Who we are

SwimProgress is operated by Learning Cheese Pty Ltd, based in New South Wales, Australia (we, us, our). We provide a web-based swim performance analytics platform for competitive swimming families.

This policy explains how we handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

What we collect

We collect only what is necessary to provide the service:

  • Account information — your email address, used for authentication and service communications.
  • Swimmer profiles — name, gender, birth year, birth month, and club. This includes information about children in your family.
  • Swim results — times, events, meets, and dates uploaded from your own results export.
  • Competitor data — publicly available results you choose to track. Because SwimProgress uses publicly available results, your swimmer's times may also appear in the dashboards of other SwimProgress families who choose to track your swimmer. As with all publicly available results, your swimmer's times are visible to anyone who searches for them.
  • Usage data — pages visited, interactions with the dashboard, and session recordings, collected via PostHog analytics.

We do not collect payment information, government identifiers, or sensitive information beyond what is listed above.

How we collect it

We collect information directly from you when you create an account, complete onboarding, or upload a results CSV. We also organise publicly available competition results. Usage data is collected automatically when you use the platform.

Why we collect it

We use your information to:

  • Provide, operate, and improve the SwimProgress platform
  • Authenticate your account and send you login links
  • Display personalised swim analytics and progress insights
  • Send service-related emails (account, updates)
  • Understand how users interact with the platform to improve it

We will not use your information for unrelated purposes without your consent.

Who we share it with

We do not sell or trade your personal information. We share data only with third-party service providers that are necessary to operate SwimProgress. These providers fall into the following categories:

Some providers are located overseas. Under APP 8, by using SwimProgress you consent to your information being held by these overseas recipients. We take reasonable steps to ensure they maintain appropriate data protection practices. To request the full list of specific providers, contact us at hello@swimprogress.com.au.

Children's information

SwimProgress is used by families and may hold information about children. We collect only the minimum information required (name, gender, birth year, birth month, club, and swim results). This information is provided by a parent or guardian and is used solely to provide swim analytics for that family's account.

We do not share children's personal information with third parties beyond the service providers necessary to operate the platform, and we do not use it for targeted advertising or profiling. We aim to act in the best interests of the child, to collect only what the service needs, and to make it easy to remove a swimmer on request.

Publicly, we identify a swimmer by name, club, and age — we do not display a child's birth year or full date of birth on public search results or preview pages. A parent or guardian can ask us to remove a swimmer from public view at any time (see “Removing a swimmer from public view” below).

Data storage and security

Your primary account and swim data is stored in Australia. We apply access controls so that each family can only access their own data. All data is transmitted over HTTPS.

No method of electronic storage is 100% secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security.

Data retention

We retain your account and swimmer data for as long as your account is active. If you request account deletion, we will delete your personal information within 30 days, except where retention is required by law.

Your rights

Under the Australian Privacy Principles, you have the right to:

  • Access — request a copy of the personal information we hold about you.
  • Correction — request that inaccurate or incomplete information be corrected.
  • Deletion — request that we delete your account and associated data.

Removing a swimmer from public view

Swim competition results are part of the public record, and SwimProgress organises them so that families can use them. If you are a swimmer's parent or guardian and you do not want that swimmer to appear in SwimProgress — whether or not you have an account — you can ask us to remove them.

The quickest way is our removal request form, or email hello@swimprogress.com.au with the swimmer's name and club. Once we verify the request, we will hide that swimmer from public search and from any public preview page, for both past and future results, and stop collecting their results. We action removal requests within 5 business days.

Removing a swimmer from SwimProgress does not change results published elsewhere on the public record.

Cookies and tracking

SwimProgress uses essential cookies required for authentication (via Supabase). We also use PostHog, which sets analytics cookies to understand how users interact with the platform. PostHog session replay may record mouse movements, clicks, and interactions within the dashboard.

We do not use advertising cookies or share tracking data with ad networks.

Changes to this policy

We may update this policy from time to time. If we make material changes, we will notify you by email or by a notice within the platform. The date at the top of this page reflects when the policy was last updated.

If you have a concern about how we have handled your personal information, please contact us first at hello@swimprogress.com.au. If we are unable to resolve your concern, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC).
